Privacy and the High Wycombe Community Governance Review

This privacy notice explains how Buckinghamshire Council (the data controller) will use the personal information we collect about you when you respond to the review consultation.

Information held about you

We collect the following personal information from you when you respond to our consultation:

  • your name
  • your full address

We also ask for the following optional demographic information:

  • age
  • disability
  • ethnicity
  • sex

Why we need your information

We need your information to:

  • verify if you are an elector (a statutory consultee) living in the unparished area of High Wycombe
  • understand if responses to the consultation are demographically and geographically representative of High Wycombe
  • discount duplicate responses to the consultation

How we use your personal information

Your name and address will be verified against the Electoral Register to check if you are an elector in the unparished area of High Wycombe. If you are not registered to vote in High Wycombe, you can still take part in the consultation. Demographic data will be separated from your name and address for verification purposes.

Your postcode and demographic data will be used to understand if responses are demographically and geographically representative of High Wycombe.

No responses will be attributed to individual respondents.

The legal basis for processing the data under the UK GDPR and Data Protection Act 2018 is:

Article 6(1)(e) We need it to perform a public task

Electors are a statutory consultee of a Community Governance Review. To demonstrate electors have been consulted, it is necessary to collect name and address to be able to verify if a respondent is an elector or not.

Article 9(2)(a) explicit consent

Providing any optional information is taken as consent. This consent can be withdrawn at any time by contacting [email protected]. This may mean your consultation response has to be withdrawn, or it may not be possible depending on the stage of processing reached.

How we share and process your information

We will share your information with:

  • third parties (data processors) contracted by Buckinghamshire Council to work on behalf of the Council to support the Community Governance Review – third parties include: NEMS Market Research (for postal responses only)
  • other relevant services within the council, for example the Business Intelligence Team to be able to carry out analysis of the consultation

We will securely hold your information and only keep it for as long as is necessary. Where information is no longer needed it will be confidentially disposed of.

Automated decision making

We do not carry out any automated decision making in relation to this information.

You have legal rights over your information. For details of those rights, see our corporate Privacy Policy. Your rights will differ depending on our lawful basis for processing your data.
